Acceptance of Terms
These Terms and Conditions govern your use of Coonoor Club's facilities, services, website and member portal. By applying for membership, accessing the member portal, or using any Club services, you agree to be bound by these terms.
Coonoor Club reserves the right to amend these terms at any time. Members will be notified of material changes. Continued use of Club services constitutes acceptance of any revised terms.
Membership
Membership of Coonoor Club is a privilege, not a right. All applications are subject to the following:
- Applications must be proposed and seconded by two existing full members in good standing
- Applications are reviewed by the Managing Committee at monthly meetings
- The Committee reserves the right to accept or reject any application without stating reasons
- Membership becomes effective only upon receipt of the entrance fee and first year's subscription
- Members must maintain their dues in good standing throughout their membership
- Membership is personal and non-transferable
Permanent Membership — Full lifelong membership with voting rights at AGM and access to all affiliate clubs.
Temporary Membership — Limited term membership with full facility access for the duration of the term, renewable upon application.
Dues & Payments
- Annual subscriptions are due by 30th April each year
- Members overdue by more than 90 days may have their access to Club facilities suspended
- Members overdue by more than 12 months may be recommended for removal from the membership roll
- Entrance fees, once paid, are non-refundable
- Annual subscriptions paid are non-refundable except in extraordinary circumstances at the Committee's discretion
- Room booking deposits are refundable if cancelled with at least 48 hours' notice
- The Club accepts payment by cash, cheque, bank transfer and UPI
Dress Code & Conduct
Members and their guests are expected to maintain the dignity and decorum befitting a heritage Club:
- Smart casual attire is required in all public areas at all times
- Formal attire (black tie or equivalent) is required at Gala Dinners and specified formal events
- Sports attire is permitted only in designated sporting areas
- Swimwear is permitted only in and around the pool area
- The Club reserves the right to refuse entry to persons not appropriately dressed
- Members are responsible for ensuring their guests comply with the dress code
Members engaging in conduct unbecoming of a gentleman or lady, or behaviour detrimental to the Club or its members, may be subject to disciplinary action including suspension or removal.
Guests
- Permanent members may bring up to 4 guests per visit; Temporary members up to 2
- Members must accompany their guests at all times within Club premises
- Members are personally responsible for the conduct and behaviour of their guests
- Guest fees, where applicable, must be settled by the member
- The same guest may not be brought to the Club more than 6 times in a calendar year without a separate membership application being required
- Children under 16 must be accompanied by a parent or guardian at all times
Room Bookings & Facilities
- Room bookings are available exclusively to members and their guests
- Bookings must be made through the member portal or Club office
- Check-in is from 2:00 PM; check-out is by 11:00 AM
- Cancellations with less than 48 hours' notice may forfeit the deposit
- Non-members accompanying members must register at reception
- The Club reserves the right to cancel bookings in extraordinary circumstances with full refund
- Members are liable for any damage caused by themselves or their guests during their stay
Dining & Bar
- The Raj Bar is exclusively for members; guests must be accompanied by a member
- The Club reserves the right to refuse service at its discretion
- Members are responsible for settling all dining and bar bills before leaving the premises
- Dining reservations are recommended for weekends and special occasions
- Outside food and beverages are not permitted on Club premises
Member Portal & Website
- Member portal login credentials are personal and must not be shared
- Members are responsible for all activity under their account
- Any suspicious activity must be reported to the Club immediately
- The Club reserves the right to suspend portal access for any member under investigation
- Information on the portal is for personal use only and must not be shared publicly
- The Club makes no warranty that the website or portal will be available at all times
Photography & Media
- Photography within Club premises is permitted for personal, non-commercial use only
- Members must obtain consent before photographing other members or guests
- Photographs of Club events may be used by the Club for promotional purposes unless a member objects in writing
- Commercial photography requires prior written approval from the Secretary
- Live streaming or recording of Club events for public broadcast is prohibited without written consent
Suspension & Removal
The Managing Committee reserves the right to suspend or terminate membership in cases of:
- Non-payment of dues for more than 90 days
- Conduct unbecoming a member or detrimental to the Club
- Breach of Club Rules or these Terms and Conditions
- Providing false information in the membership application
- Any criminal conviction that the Committee deems relevant
Suspension requires a simple majority of the Managing Committee. Permanent removal requires a two-thirds majority. Members are entitled to a hearing before the Committee prior to removal.
Liability & Indemnity
The Club, its officers, staff and Managing Committee shall not be liable for:
- Loss or damage to personal property of members or guests on Club premises
- Personal injury sustained on Club premises, except where caused by the Club's negligence
- Any loss arising from temporary closure or unavailability of Club facilities
Members shall indemnify the Club against any claims arising from the conduct of themselves or their guests while on Club premises.
Governing Law
These Terms and Conditions are governed by and construed in accordance with the laws of India. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of Tamil Nadu.
The Club's decision on all matters relating to membership, discipline and the interpretation of Club Rules shall be final.
